Privacy Statement

Plutus Bookkeeping LLC is committed to protecting the personal and financial information shared with us.

1. Information We May Collect

The information Plutus Bookkeeping receives depends on how you contact us and the services you request. It may include:

  • Contact and scheduling information: Your name, email address, telephone number, business name, appointment details, and messages you send.
  • Business and bookkeeping records: Bank and credit-card statements, invoices, bills, payroll reports, loan documents, general-ledger information, prior bookkeeping records, and other documents needed for the agreed work.
  • Accounting-system access: Access to QuickBooks Online or other services may be provided through permissions approved by the client. Plutus does not ask clients to send banking passwords or account login credentials by ordinary email.
  • Basic website and service data: Our website host and third-party services may receive technical information such as an IP address, browser type, device information, access time, or referring page as part of normal service operation.

2. How We Use Information

Information is used only for legitimate business purposes related to Plutus Bookkeeping, including:

  • Responding to inquiries and determining whether a requested service is a good fit.
  • Providing monthly, quarterly, catch-up, and cleanup bookkeeping services.
  • Reconciling accounts, reviewing transactions, documenting questions, and preparing financial reports.
  • Communicating with the client about missing information, open items, deliverables, scheduling, and billing.
  • Providing agreed reports or supporting information to the client's independent tax professional when the client authorizes us to do so.
  • Maintaining business records, protecting our systems, and meeting applicable legal or contractual obligations.

3. When Information May Be Shared

Plutus Bookkeeping does not sell, rent, or trade personal or business information.

Information may be shared only when reasonably necessary to provide or operate the service, including with:

  • Service providers: Companies that support accounting, scheduling, email, website hosting, document exchange, or other business operations. These providers handle information under their own terms and privacy practices.
  • Client-authorized professionals: A CPA, tax preparer, attorney, payroll provider, lender, or other adviser when the client asks or authorizes Plutus to provide information.
  • Legal or safety requirements: When disclosure is required by law, a valid legal process, or is reasonably necessary to protect the rights, property, or security of Plutus, a client, or another person.

4. Security and Access

Plutus Bookkeeping uses reasonable administrative and technical safeguards appropriate to a small professional-services firm. Access to client information is limited to the people and systems needed for the engagement, and third-party access tools are used according to the permissions approved by the client.

No method of electronic transmission or storage is completely secure. Clients should not send passwords, Social Security numbers, bank-login credentials, or sensitive financial documents through ordinary email unless an agreed secure method is being used.

5. Record Retention

Information is retained for as long as reasonably needed to provide services, respond to questions, maintain business records, support the agreed year-end handoff, and satisfy applicable legal or contractual requirements. Records may be returned, deleted, or removed from active systems when they are no longer needed, subject to backup cycles and required retention periods.

6. Your Choices

You may contact Plutus to request a correction to contact information, ask how information is being used, revoke access to an accounting system, or request deletion of information that is no longer needed. Some information may need to be retained for legal, contractual, security, or recordkeeping purposes.

7. Third-Party Websites and Services

The website may link to or use third-party services such as QuickBooks Online, Calendly, social-media platforms, or document-sharing providers. Their collection and use of information are governed by their own privacy policies and terms.
