Why Your QuickBooks Bank Balance Does Not Match the Bank

The balance shown in QuickBooks does not automatically match the bank’s online balance. Timing differences are normal, but persistent or unexplained differences often indicate missing entries, duplicates, incorrect opening balances, or unreconciled transactions.

Bank balance and QuickBooks balance are different concepts

The bank reports transactions it has processed. QuickBooks reports the transactions recorded in the accounting file. A check may be entered in QuickBooks before it clears the bank, while a bank charge may appear online before it has been recorded in the books.

Because of these timing differences, comparing the two dashboard balances is not enough. A reconciliation compares QuickBooks with a specific bank statement ending date and identifies the transactions responsible for the difference.

Common causes of a mismatch

Frequent causes include duplicate bank-feed entries, missing checks or deposits, transfers posted as income or expenses, deleted reconciled transactions, incorrect transaction dates, uncleared old activity, and an opening balance that never agreed with the bank.

Credit-card payments can also be duplicated when the payment is recorded in both the bank account and the credit-card feed without being matched correctly.

Why changing the balance is not the solution

A forced journal entry can make two totals appear to agree without identifying the underlying problem. That approach may move the discrepancy into an expense, equity, or suspense account and make later periods harder to reconcile.

The better process is to locate the last reliable reconciliation, compare the statement line by line, and correct the transactions creating the difference. Adjustments should be documented and used only when the underlying facts support them.

How to investigate the difference

Start with the most recent completed reconciliation and confirm that its ending balance still agrees. Then review reconciliation changes, duplicated downloads, uncleared transactions, and the bank register around the first period that became inaccurate.

Gather the complete statement—not only a screenshot of the current online balance. The statement provides a fixed beginning balance, ending balance, and complete period activity.

When to request professional cleanup

Professional assistance may be appropriate when several periods have never been reconciled, previously reconciled transactions were changed, old discrepancies continue to roll forward, or the owner is unsure which entries are safe to correct.

A cleanup should rebuild supportable reconciliations and explain any amount that cannot be resolved from the available records.

Frequently asked questions

Should QuickBooks always equal the current online bank balance?

Not necessarily. Outstanding checks, deposits in transit, and transactions recorded on different dates can create normal timing differences. The formal comparison is the reconciliation to a specific statement ending date.

Can a reconciliation discrepancy be deleted?

The discrepancy should first be traced to the transaction or prior change that created it. Deleting or offsetting the amount without understanding the cause can move the problem to another period or account.

Why did a previously reconciled month become incorrect?

A reconciled transaction may have been deleted, changed, duplicated, or moved to another account after the reconciliation was completed. QuickBooks reconciliation-change reports can help identify those edits.

Practical checklist

  • Use the full monthly statement.
  • Start from the last reliable reconciliation.
  • Look for duplicates and deleted reconciled items.
  • Review transfers and credit-card payments carefully.
  • Do not force the difference into an arbitrary account.
